Job Overview:
We are seeking a highly detailed and organized Office Administrator to join our team. The ideal candidate will be exceptionally detail-oriented, organized, and have excellent communication skills. As an Office Administrator, you will be pivotal in ensuring the smooth day-to-day operations of our office, managing administrative tasks, and providing support to staff members.

Responsibilities:

  • Provide administrative support to ensure efficient operation of the office, including managing phone calls, emails, and correspondence.
  • Handle shipping and receiving: receive, inspect, and record incoming shipments; coordinate with vendors and carriers to ensure prompt delivery of goods; prepare shipping labels and documentation for outbound shipments.
  • Coordinate the shipment of all outbound and inbound repairs.
  • Stage orders for service personnel for upcoming jobs, coordinating with purchasing if items are needed.
  • Stage orders for deliveries and customer pickups, and notify customers when their order is ready for pickup.
  • Receive and log incoming repairs from customers or internal departments.
  • Maintain electronic and physical filing systems.
  • Monitor office supplies and place orders when necessary.
  • Generate and format reports according to manufacturer’s specifications and deadlines.
  • Collaborate with the operations manager to conduct monthly inventory.
  • Assist with inputting service invoices in QuickBooks.
  • Be willing to learn and master new duties as required to enhance office efficiency and support changing business needs.

Qualifications and Skills:

  • Bachelor’s degree in Business Administration, Management, or related field preferred.
  • Proven experience as an office administrator, office assistant, or relevant role, demonstrating a high level of detail orientation and organizational skills.
  • Strong planning and organizational skills in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office (MS Excel and MS Word, in particular).
  • Experience with QuickBooks or similar accounting software is highly desirable.
  • Ability to multitask and prioritize daily workload.
  • High level of discretion and confidentiality.
  • Exceptional attention to detail and problem-solving skills.
  • Familiarity with office management procedures and basic accounting principles.
  • Quick learner and adept at self-study, capable of rapidly adapting to new systems and processes.

Job Type: Full-time

Pay: $22.43 - $23.69 per hour

Expected hours: 40 per week
